Conference FAQ – Presenters
This FAQ is intended for nonprofit performing arts presenters, emerging presenting organizations, and community leaders attending the MPAC Annual Showcase & Conference. Some guidance overlaps with other conference materials—this is intentional and reflects shared expectations across the field.
Who should attend the MPAC Conference?
The conference is designed for performing arts presenters from communities across Montana, including established organizations and emerging presenters who are building or revitalizing a performance series. Presenter representatives often include staff, board members, volunteers, or a combination of all three.
Is conference attendance required for MPAC membership?
No. Conference attendance is not required for membership, but it is strongly encouraged for presenters. Many of Montana's performing arts organizations rely on the conference to plan a significant portion—or the entirety—of their upcoming performance seasons.
Why is the conference structured as a short, intensive weekend?
The conference is intentionally designed to fit into a single weekend in order to accommodate volunteer leadership, small staffs, and limited travel budgets. This format allows presenters to participate fully while minimizing time away from their regular responsibilities.
What should presenters prepare in advance?
Presenters are encouraged to come prepared with information about their organization and community, including:
-
Venue details (stage size, seating capacity, basic technical capabilities)
-
Typical artist fee range
-
Audience size and characteristics
-
Programming goals and interests
-
Outreach or education priorities
Having this information readily available helps artists and agents assess fit and supports efficient, productive conversations.
How should presenters use the conference for season planning?
Conference materials are gathered months in advance and may change. Presenters are encouraged to:
-
Use the conference as a starting point for planning
-
Confirm fees, availability, and technical needs directly with artists or agents
-
Remain open to conversations that may lead to future seasons, not just the upcoming year
MPAC’s conference supports both immediate booking and long-term relationship-building.
What is Turn-The-Tables, and why is it important?
Turn-The-Tables is a structured Resource Room session where presenters host tables featuring information about their venues and communities, while artists and agents circulate through the room.
This event gives presenters an opportunity to share their story, highlight what makes their community unique, and engage directly with artists and agents who are interested in learning more.
What is the block-booking meeting?
The block-booking meeting is a presenter-only session, typically held Sunday morning. During this meeting, presenters discuss shared interest in artists and explore coordinated touring possibilities for upcoming seasons.

Presenter interest is recorded and shared with members following the conference, helping translate performances and conversations into concrete touring plans.
Are meals included with registration?
Meals are not included with conference registration but may be purchased separately. MPAC typically offers catered meals on Friday evening and Saturday.
Can multiple representatives from my organization attend?
Yes. Presenter registration includes one attendee per organization. Additional representatives may register at a discounted rate. Registration details are posted on the conference registration page each year.
Is virtual attendance available?
MPAC does not offer a virtual attendance option for the Annual Showcase & Conference. Members who cannot attend may still access select post-conference resources.
