Resource Room Etiquette & Guidelines

The Resource Room is the primary space for professional exchange during the MPAC Annual Showcase & Conference. These guidelines are intended for all Resource Room participants—artists, agents, and presenters—and are designed to support a respectful, productive, and welcoming environment for everyone.

Some information here may overlap with attendee FAQs. This is intentional. Not everyone reads every page, and these shared expectations help ensure the Resource Room works well for all.

Setting Up Your Booth

  • Booth spaces are assigned by conference staff.

  • Booth setup begins on Friday when conference registration opens.

  • Do not leave valuables unattended. Neither MPAC nor the venue is responsible for lost or damaged items.

  • Please do not attach materials directly to pipe and drape or to the floor. Standing banners or easels are permitted.

  • If you need to hang lightweight materials, MPAC can provide fishing line.

Navigating the Resource Room

  • Artist and agent name badges use blue lanyards; presenter name badges use yellow lanyards.

  • MPAC Board members have a ribbon attached to their badge. They are available to answer questions or hear feedback.

The Resource Room is active and dynamic. Be ready to engage, but be mindful of when others are in focused conversations.

Professional Courtesy & Conversation

  • Allow presenters and artists to approach each other naturally. Avoid interrupting conversations already in progress.

  • Do not pull someone into conversation as they walk down an aisle.

  • Take time to learn about the people you meet—their community, audience, venue, and programming goals.

  • Be respectful of time and space; meaningful conversations often happen throughout the weekend, not all at once.

During Scheduled Resource Room Hours

  • Please remain in or near your booth during scheduled Resource Room sessions.

  • If you must step away due to a tech rehearsal or conference commitment, leave a visible note explaining your absence.

  • It is strongly discouraged to strike your booth or leave early; presenters and artists do take note.

Audio, Video, and Materials

  • Headphones are required for audio or video playback. Playing sound over speakers is not permitted.

  • Clearly label any demo materials that should not be removed (e.g., “booth copy only”).

  • Free promotional materials may be distributed at your discretion. You are not obligated to provide items to every representative from a presenting organization.

  • Merchandise sales are not permitted at conference sites.

Digital Presence & Preparation

  • Ensure your website URL is clearly visible on booth materials.

  • Keep your MPAC member profile up to date through the online member dashboard.

  • Simple, clear printed materials are effective when paired with a well-prepared website.

A Shared Learning Environment

The Resource Room is also a place to learn from one another. When time allows, visit other booths, talk with peers, and share insights. Many attendees find that informal exchanges with fellow artists, agents, and presenters are just as valuable as formal meetings.
